Scope of Position: 

Under the general direction of the Chief Executive Officer (CEO) and Laboratory Director (LD), the Executive Assistant is responsible for the efficient day to day operation of the Executive Office. The incumbent will provide administrative and secretarial support for the efficient operation of the Office

 

Duties and Responsibilities

  • Ensures that all official obligations are met, by organizing meeting schedules and ensuring that all relevant parties are advised and arrangements are made.
  • Manages administrative matters for the Executive Office and makes recommendations for improvements as may be required.
  • Keeps records of all deadlines that must be met and important matters requiring resolution, bringing them to the attention of the CEO and LD, and interfacing with the Managers concerned to ensure that the deadlines are observed and the CEO and LD apprised accordingly of the results.
  • Monitoring and reporting on the timelines for all upcoming projects, issues, and commitments.
  • Receiving and screening incoming telephone calls to the CEO, providing friendly and professional greetings, directing calls, taking messages as appropriate, and eliciting necessary information to allow timely and accurate responses where appropriate.
  • Interviews persons who call/visit the Chief Executive Officer or who are referred and reporting on such interviews.

 

Minimum Qualification and Experience

  • BSc. Degree in Business Administration, Management Studies, Public Administration, Administrative Management or related field from an accredited tertiary institution
  • At least 3 years’ experience as a Personal Assistant or an Executive Assistant
  • Training in Secretarial Studies would be an advantage
  • Working knowledge of Microsoft Office 365
  • Ability to meet deadlines, multi-task and work under pressure
  • Ability to meet deadlines
